DigitalNext Agency is a full-service digital marketing agency managing campaigns for 40+ clients across multiple industries. Their internal marketing operations were struggling to keep pace with growth. The team was spending countless hours on manual, repetitive tasks: sending follow-up emails, updating CRM records, generating reports, responding to basic inquiries, and managing lead assignments.
We were engaged to design and implement an AI-powered marketing automation system that would handle these repetitive workflows while improving speed and accuracy. The goal was not to replace the team but to free them from busywork so they could focus on high-value strategic activities like campaign strategy, client relationships, and creative development.
The transformation was profound. The automation system saved the team over 20 hours per week collectively, reduced lead response time from 4 hours to under 5 minutes, and increased lead-to-qualified-conversion by 40%. The Challenge
DigitalNext's operational processes were almost entirely manual. When a new lead came in through the website, someone had to manually check the CRM for duplicates, create a contact record, assign it to the right account manager, and send an acknowledgment email. This process took an average of 15 minutes per lead, and with 80+ leads coming in weekly, it consumed over 20 hours of staff time every week.
Lead response times were painfully slow. The average time between a lead submitting a form and receiving a first contact was 4 hours, and sometimes stretched to 24 hours on weekends. Research shows that responding within 5 minutes increases conversion rates by 9x, so this delay was costing them significant revenue. There was no after-hours coverage, meaning leads that came in overnight went untouched until the next business day.
Follow-up consistency was another major pain point. The sales team had a sequence of 5 follow-up touches they were supposed to execute over 14 days, but adherence was below 40%. Strategy & Execution
We built the automation system around three core components: an AI chatbot for initial lead capture and qualification, a marketing automation platform for workflow management, and CRM integration for data synchronization. The system was designed to handle the entire lead lifecycle from first touch through qualification and handoff to sales, with minimal human intervention required.
The AI chatbot was deployed on the website and programmed to handle initial visitor interactions. It could answer common questions about services, pricing, and availability, qualify leads by asking relevant questions about budget and timeline, capture contact information, and route qualified leads to the appropriate team member in real-time. Natural language processing allowed it to understand intent and respond appropriately, escalating complex inquiries to humans when needed.
Behind the scenes, Zapier and Make integrations connected the chatbot to the CRM, email marketing platform, and team communication tools. When a lead was captured and qualified, the system automatically created a CRM contact, assigned it to the appropriate account manager based on lead source and industry vertical, sent a personalized welcome email, added the lead to a 14-day nurture sequence, and posted a notification to the team's Slack channel with a summary of the lead's interests and needs.
For lead nurturing, we built automated email sequences that delivered relevant content based on lead behavior. If a lead opened an email about SEO services, the system would tag them as interested in SEO and send follow-up content specific to that service line. Click tracking and engagement scoring helped prioritize leads for sales follow-up, ensuring the team focused their energy on the most promising opportunities.
